An AI sales development representative can collect useful context before a salesperson joins the conversation. Its value depends on the quality of that context and the reliability of the handover. For inbound WhatsApp and website leads, start with a bounded qualification process rather than promising a fully autonomous sales team.
"Qualification should help a buyer reach the right person, not make them pass an unnecessary interrogation." — BAZ Team
Agree on the information a salesperson needs to take a productive next step. Depending on the offer, that may include the requested service, business type, location, timing, and the buyer's main constraint. Keep essential fields separate from information that would merely be interesting to know.
Avoid applying the same qualification checklist to every visitor. A returning client requesting an additional service should not repeat a first-time buyer interview. A person asking a simple availability question may need an answer before discussing budget. Define separate routes for sales, existing customer support, partnerships, and irrelevant enquiries.
Write the qualification rules in plain language before implementing them. Sales and marketing should agree on what happens when information is missing, contradictory, or uncertain. Do not treat a lack of budget disclosure as proof that a prospect has no budget. The system should preserve uncertainty rather than converting it into a confident rejection.
Begin by answering the visitor's immediate question using approved service information. Ask the next qualification question only when it helps determine the appropriate response. Explain why sensitive or detailed information is needed. A short conversation that respects the buyer's purpose is preferable to a long script designed to fill every CRM field.
For a hypothetical website redesign enquiry, the assistant might establish whether the business needs a new site or an improvement to an existing one, then ask about the main problem and target timing. It can offer a discovery call once enough context exists. It should not invent a fixed project price from a vague description.
Test interruptions and topic changes. Buyers may ask about a portfolio example, switch language, or request a person before answering the next question. The assistant should accommodate those choices and retain useful context. A rigid form disguised as conversation creates frustration without improving qualification.
Provide current service descriptions, exclusions, typical process explanations, and approved responses to common questions. Distinguish general guidance from terms that require a proposal. The system may explain how scoping works, but it should not promise a delivery date, discount, or result that has not been authorised.
Keep evidence separate from persuasion. An approved case study can illustrate prior work, but it cannot establish that a new buyer will achieve the same outcome. If the assistant cannot verify a claim, it should route the question to the sales team. Sales language does not justify factual improvisation.

Check current channel rules before enabling automated follow-up. The WhatsApp Business Messaging Policy distinguishes replies within its customer service window from messages requiring approved templates outside it. Build that distinction into the sending workflow rather than asking the language model to remember it.
Record the relevant messaging permission and respect requests to stop. A website conversation does not automatically authorise messaging a phone number on another channel. Keep the buyer informed about how the business will continue the conversation and make the preferred contact route part of the handover.
Design a direct path to human help. If the system cannot complete a task, it should explain the next step and the actual availability of the team. A label such as autonomous should not hide the fact that pricing exceptions, complex scoping, and complaints require people.
Decide how the assistant identifies an existing contact and associates the conversation with the correct enquiry. Store the customer's own answers separately from inferred summaries. Keep the source channel, timestamps, and outstanding questions visible to the salesperson. A neat summary is useful only if it does not erase uncertainty or change meaning.
Make ownership explicit. Route the lead according to agreed service, language, or territory rules and provide a fallback queue when no owner is available. Confirm that the task or notification actually reaches someone. Writing a record into the CRM is not the same as completing a handover.
For meeting booking, check live availability, time zone, duration, and required participants. Request confirmation before finalising the appointment and report success only after the calendar operation succeeds. Handle duplicate submissions so an impatient second click does not create multiple invitations.
Build a realistic test set with ambiguous requests, unsupported languages, pricing pressure, incorrect contact details, and attempts to persuade the assistant to ignore its rules. Include a buyer who explicitly asks for a human and one who withdraws permission to continue. Review both the reply and the changes made to connected systems.
Test outages separately. If the CRM or calendar is unavailable, the assistant should preserve the enquiry through an approved fallback or clearly state that the action could not be completed. It must not claim that a meeting is booked simply because it generated a booking message.
Review the first live conversations with salespeople. Ask whether the context is sufficient, whether important questions were missed, and whether the assistant created unrealistic expectations. Use those findings to refine the conversation rather than judging success by the number of messages exchanged.
Track the share of handovers accepted by sales, meeting attendance, missing information, and the reasons enquiries are returned for clarification. Compare similar lead sources and service types. A higher booking count may be unhelpful if the meetings are unsuitable or prospects arrive expecting an offer the business cannot provide.
Include operational measures such as failed CRM writes, duplicate contacts, and delayed ownership. These reveal whether automation is reducing work or moving it downstream. Expand to more services only when the process produces useful opportunities and a reliable experience for the buyer.
